Build from the lender's order, not memory
Assemble the packet from the lender's document list and the title company's instructions, then check the result against the signing appointment type. A refinance, a purchase, and a seller-only package do not contain the same forms.
Number the documents and keep the lender's required order where one is specified. A packet that is logically organized but out of the lender's sequence creates avoidable questions at the table.
Confirm signer capacity before printing
List every signer, the capacity in which they sign, and the document each capacity affects. An individual signing personally is different from the same person signing as trustee or manager of an entity.
If a power of attorney is involved, confirm that the document is acceptable to the lender and title company, that it is recorded or recordable as required, and that the agent's identity matches. The assistant verifies the package; the closing manager approves the authority.
Mark the fields that are commonly missed
Initials, dates, loan originator information, and the borrower's receipt of disclosures are frequent gaps. Add a field checklist that follows the packet order so the notary can confirm completion before the signer leaves.
Leave no blank that the signer is expected to fill later. If a field must remain blank, attach a written instruction explaining why and who will complete it.
Prepare the return path
Decide before the appointment whether the packet returns by scan, overnight delivery, or both. Prepare the label, the tracking number, and the recipient, and tell the notary what must be scanned immediately versus shipped.
For a scan-back, specify the resolution and the page order and require confirmation that every page arrived. A missing scan page can delay disbursement even when the original is in transit.
Handle a signing that goes wrong
If a signer refuses a document, cannot produce identification, or questions a term, the notary stops and contacts the closing team. The assistant records the time, the document, and the reason, and does not coach the signer to proceed.
A partial signing may require a re-draw or a new appointment. Preserve the executed pages and the notes so the closing manager can determine what remains valid.
Review the returned package
When the packet comes back, check signatures, initials, dates, notary acknowledgements, and the presence of every page before routing it for disbursement. Compare the return to the field checklist rather than assuming the notary caught everything.
Track returned-package exceptions by type. A recurring miss on one form is a packet-building problem, not a notary performance problem, and the fix belongs in the assembly checklist.
Questions
Can a VA tell a signer how to answer a document question?
No. The signer should direct legal or loan-term questions to the closing manager or lender. The assistant documents the question and the referral.
Who approves a power of attorney?
The lender and title company determine acceptability. The assistant confirms the document is present and matches the signer, then routes it for approval.
What is the most useful packet check?
A page-by-page field checklist completed before the signer leaves. It catches missing initials and dates while correction is still easy.
